Tour Logistics

Each TrekEd tour is organized to ensure an enriching and well-supported experience for all participants. Each tour is led by a dedicated TrekEd Team comprising a Tour Consultant, Tour Director, and Local Guide. The TrekEd Team is equipped with the expertise to facilitate a safe and educational journey.

Tours are designed to accommodate 10-15 registered students, with the benefit of including one Supervising Teacher free of charge for every group of 10 students.

Our flexible scheduling allows tours to be tailored around varying school calendars, primarily running during Spring Break and at the end of June. This flexibility ensures that educators and students can integrate our tours into their academic and personal schedules, maximizing the learning and adventure opportunities offered through TrekEd.

How to Bring TrekEd to Your Classroom:
A Step by Step Guide

At TrekEd, we believe in the power of experiential learning through immersive educational tours. Our tours are designed to foster curiosity, build knowledge, and create lasting memories. We understand that bringing an educational tour into your school is a big decision, which is why we’ve created a simple, streamlined process to guide you every step of the way.

Step 1:

Schedule a Consultation Call

Before diving into the registration process, schedule a consultation call with us. This conversation will give us an opportunity to learn more about your classroom's goals and discuss how we can tailor TrekEd to meet your educational needs. We'll work together to ensure the experience aligns with your curriculum, learning objectives, and student interests.

Step 2:

Sign Up as a TrekEd Coordinator

The first step is for teachers to sign up as a TrekEd Tour Coordinator through our easy online registration portal. This role allows the teacher to oversee the logistics of the tour, communicate directly with TrekEd, and serve as the primary point of contact for both students and parents.

Explore Tour Options and Customize Your Experience

Once registered, teachers can explore the various tour options available through TrekEd. Our team will work closely with you to tailor the tour based on your curriculum, subject focus, and student interests. You can customize elements such as educational content and learning activities to ensure a meaningful experience for your class.

Step 4:

Organize a Student Information Session

Now it’s time to introduce your students to the adventure! TrekEd will provide all the necessary promotional materials, such as posters, flyers, and digital assets, to help you generate excitement within your school. On the day of the info session, a TrekEd Coordinator will meet with you and your students to explain the details of the tour, outline the educational goals, and highlight the exciting aspects of the experience. This session is also a great opportunity to gather student interest and answer any initial questions they may have.

Step 5:

Organize a Parent Information Session

Following the student session, it's time to host an info session for parents. During this session, we will explain how the tour can benefit their child—highlighting the educational, personal, and social growth opportunities that come with experiential learning. We’ll go over the trip itinerary in detail, covering the destinations, activities, and key learning objectives, so parents know exactly what to expect. Additionally, parents will have the chance to ask any questions they may have regarding safety, logistics, or anything else. To ensure they have all the information they need, each parent will be provided with an informative package, including itinerary details, consent forms, medical information, and other important resources.

Complete Group Enrollment

After the info sessions, teachers will collect all necessary forms from students. Parents will complete the online registration for their child through our easy-to-use booking platform, where they can book the tour directly. During this process, parents will also have the option to set up a convenient payment plan, ensuring flexibility for the family. Teachers will oversee the collection of any remaining documents, such as medical forms and consent slips, to ensure everything is in place for a smooth and successful tour experience.

Step 7:

Prepare Students and Parents for the Journey

In the lead-up to the tour, TrekEd provides all necessary resources to ensure students and parents are well-prepared. Teachers will be given a comprehensive itinerary, safety guidelines, and pre-trip educational materials to share with students. For those participating in The VAN to VIC Trek, teachers may also register for two extra-curricular training sessions, where students will complete training hikes with the TrekEd coordinator. These sessions are designed to ensure students are physically prepared for the trek and to build team camaraderie. Addional parent meetings and informational sessions can also be arranged to address any final questions or concerns.

Step onto the Trail and Experience TrekEd

Once the tour is underway, teachers will accompany their students on the trip, ensuring everything runs smoothly and the educational goals are met. After the trip, TrekEd will provide follow-up resources, including post-tour reflection activities, project ideas, and a digital portfolio of the experience. Teachers can then debrief with students and incorporate learnings back into the classroom.
